Tournament Director Guide

How to list and run a land-based SAR tournament with online registration and Web Management.

Web Management is the tournament workflow. Registration, rosters, relay and target assignments, score processing, corrections, finalization, ties, and awards stay on SARtournaments.org. The Apperson application is used only to operate the scanner and export a score file; no separate tournament database is needed.

Before you start

  • Only a certified BARI with an active SARtournaments.org account can create a tournament listing.
  • Gather the event name and type, dates, location, divisions, team limits, registration dates, fees, payment instructions, relay schedule, target counts, and administrator names.
  • For scanner scoring, arrange an Apperson DataLink 1200 scanner, a Windows computer with the SAR Apperson scanner interface installed, a printer, SAR scorecards, and Avery 5160 or 8160 labels.
  • This guide covers land-based Web Management. Virtual tournaments continue to use the virtual-tournament scoring workflow.

Part 1: List the tournament

1. Open Tournament Listings

Sign in, choose List A Tournament, and select Create or Manage a Listing.

2. Decide whether to post a Save the Date

A free Save the Date listing is optional and is useful when the date is known but the registration, payment, or relay details are not final. Associate it with the full listing after the tournament is posted.

3. Create a Full Tournament Listing

Choose Create a New Full Tournament Listing, read the listing agreement, and complete each setup step:

  1. Event details: name, land-based tournament type, event and range type, state or country, shirt-size collection, coach limit, and public contact.
  2. Teams and divisions: multiple-team rules, enabled divisions, and roster minimums and maximums.
  3. Dates and location: event dates, venue, optional pre-registration, full registration, the drop-by deadline, and any tiered registration settings.
  4. Relays: add every relay with a clear name, date and time, starting target, and number of positions. Each target supplies an A and B position.
  5. Fees and payments: per-shooter fee, accepted payment methods, invoice notes, deadline, and remittance information.
  6. Administrators: add the BARIs who need access to manage the tournament.
4. Review and submit

Review the complete setup, select Submit For Posting, and wait for approval. The setup page shows its current status. SAR normally reviews a complete submission within 24 to 48 hours.

5. Open the Tournament Manager

After posting, return to Current Tournament Listings and choose View/Edit/Manage. Confirm the public detail page, dates, divisions, relays, payment settings, and administrators before registration opens. New land-based tournaments must use Web Management; if its controls are missing, contact support@SARtournaments.org before proceeding.

Part 2: Prepare to run the tournament

Tournament administrators can use the dedicated Land-Based Tournament Administrator’s Guide as their detailed operating checklist.
1. Before registration opens
  • Use Settings/Config to verify Date Configuration, Division Configuration, Tournament Relay Information, Relay Select Config, Payment Setup Info, and Tournament Admins.
  • Open Go To Tournament and proofread everything coaches will see.
  • Install the Apperson scanner interface on the scoring computer.
2. While public registration is open
  • Coaches make roster and relay selections through the normal registration workflow.
  • Use the manager's Registration and Pre-Tournament tabs to monitor Tournament Groups, payments, relay capacity, team rules, relay-position deficits, and extra positions.
  • Do not prepare Web Scanner Scoring yet. Readiness is intentionally unavailable until public registration closes.
3. Test the scanner

Several days before the tournament, open Scanner Test and follow its test-card instructions. A successful test confirms that the scanner export has the format Web Scanner Scoring expects.

The scanner interface creates the CSV or TXT export. All roster and scoring management remains on SARtournaments.org.

4. Close registration and finish the roster
  • After the public registration close time, open Registration Management for administrator changes.
  • Add an eligible school or organization if needed, create its team grouping before adding shooters, then add, substitute, move, assign, or remove shooters as required.
  • Every active shooter must have exactly one relay assignment. Resolve Team Rules Validation, Relay Position Deficits, Extra Relay Positions, and capacity problems before readiness.
5. Run tournament readiness
  1. Open Web Scanner Scoring.
  2. Select Run Tournament Readiness. Readiness validates the roster, assigns stable shooter and target numbers, and locks the public roster.
  3. If readiness reports a problem, return to Registration Management, correct it, and choose Run Tournament Readiness again.
  4. Any later administrator change that affects scoring makes readiness incomplete. Rerun readiness before printing or scanning.
6. Print tournament materials

After readiness is complete, prepare the materials from the Pre-Tournament tab:

  • Print Rosters for check-in and corrections.
  • Print Relay/Target Report and Target Assignment Lookup for range operations.
  • Open Target Positions to see unfilled A and B lanes after target assignments are ready.
  • Scorecard/Packet Labels for shooter numbers and team packets. Use Letter paper, Actual Size or 100%, and Avery 5160 or 8160 labels.
  • Print team checkoff sheets, receipts, relay archer counts, and team lane assignments as needed.

Part 3: Tournament day

1. Make final roster corrections

Use Registration Management before a shooter's scorecard is recorded. Rerun readiness and reprint any affected label or report after a change. A shooter with a scanner card or score is locked from roster changes.

2. Scan and export scorecards

Scan the labeled scorecards with the Apperson interface and export each batch as CSV or TXT. Keep each export filename unique and retain the original files until the tournament is complete.

3. Upload and process scores
  1. Open Web Scanner Scoring.
  2. Select the tournament location, choose the scanner export, and select Upload Scanner File.
  3. Review the file name, location, card count, and upload time.
  4. When the uploads are clean, select Process All Scores to rebuild preliminary scores and rankings.
4. Reconcile every scorecard

Use Scorecard Review / Corrections until every active registered shooter has exactly one valid processed scorecard:

  • Assign an unknown shooter number to the correct participant, or delete and rescan the card.
  • Delete or reassign duplicate scorecard records.
  • Correct invalid arrow values or totals and save to reprocess.
  • For a missing scan, enter the paper scorecard manually from Scorecard Review.
  • Use Scoring Activity Log to review or export the audit history.
5. Finalize, review ties, and release awards
  1. When reconciliation is complete, select Finalize Tournament Results. Scanner files and scores become read-only.
  2. Open Tie Review / Award Release. Record the approved resolution for every award-cutoff tie.
  3. Select Release Awards. Award reports remain previews until final scores and ties have been reviewed and released.
  4. Open Award Center for division, grade, team, and overall shooter reports.

Part 4: After the tournament

  • Verify the public results, Results Flyer, leaderboard links, and released award reports.
  • Review the SAR fee invoice from the After Tournament tab.
  • If a correction is necessary, Web Scanner Scoring can reopen a finalized tournament for seven days. Enter a reason; reopening clears award release and prior tie acknowledgements and records the action.
  • After corrections, process and reconcile again, finalize again, review ties again, and release awards again.

Troubleshooting

Problem What to do
Web Management controls are missing Confirm that this is a land-based tournament, then contact support before creating scorecards or scoring files.
Readiness will not complete Assign every shooter to exactly one relay and correct relay capacity, starting-target, duplicate-number, or missing-position problems.
Unknown or duplicate shooter number Open Scorecard Review, assign the card correctly, or delete the incorrect record and rescan it.
Invalid scorecard Compare the paper card with all 30 arrow values, correct the record, and save to reprocess scores.
Finalization is disabled Resolve every missing, extra, duplicate, unknown, or invalid card, then run Process All Scores.
Finalized results need a correction Reopen the tournament from Web Scanner Scoring within seven days, enter a reason, make the correction, and repeat final review and award release.
